Import Teachers - Existing Users

Learning A-Z is pleased to offer our account holders the ability to upload and edit teachers, with an existing username, using a comma-separated values (CSV) electronic file.

  1. Log in to Account Management page and select the Manage Users tab.

  2. Select Add Teacher/Admin.

  3. Select Add Multiple via CSV Import.

Note: If your account has a sub-coordinator, you can choose from the “Import as” dropdown to roster teachers under that sub-coordinator.

5. Click Download Current Roster.

  • You should always start by downloading the current roster, whether you’re adding new users or editing existing users. This will allow you to view existing teacher information and will provide a template to add new teachers or edit existing teachers for upload.

6. Confirm the username in the first column, but do not change this field.

7. Update any one or more of the fields for each teacher or administrator, as long as all required fields are complete. Reminder: Do not change or remove the Existing Username, as that is the unique identifier for the user.

8. Next, enter or update the number of product licenses allocated to each user.

In the columns shown below, you should type the number of assigned licenses. If there are no licenses assigned to that user for a particular product, you can type 0 under that specific column. If a teacher has multiple classrooms, a license should be assigned for each class.

You will only see columns for the products you have associated with the account.

Note: Be sure to include Sub-coordinators in the license count if they will be using the product.

  • You can find more detail on each of the columns below. This can be found under “How to Import” on the Teacher Import page in Manage Users.

9. Save the file to your hard drive in CSV (comma delimited) format.

10. Click Upload CSV.

11. Navigate to and open the saved file. This may take a few moments.

12. Review the user list for accuracy.

  • There are many different types of errors that could appear. The reasoning behind the error is shown on the page. Revise specific cells in the CSV file, save to your hard drive, then re-upload.

  • When reviewing the error message, identify the user name so you can search your CSV file for the same individual and make the correction in the CSV file.

13. Once you have cleaned up any errors in the file and re-uploaded, you will have an opportunity to review your import and see all the data before it is processed. From here, you can either click “Process” or make any final edits before you process the data.

14. Click Process.

Each activated user will receive a welcome email with instructions on how to set up their account.
