Setting Up Student Rosters

Set up student rosters for the new school year, and beyond, via .csv file.

We can help outline everything you need to do to your student roster for the upcoming year and beyond. We will break it down into 3 or 4 steps:

  1. Remove students

  2. Transfer students

  3. Add students.

  4. (Optional) Edit Students

To reduce errors, please read and follow the instructions carefully. Then, there is the last optional step of “edit students”. To do bulk roster changes you will need to start with the .CSV File from your License Coordinator account. Follow these steps to get the most current file.

  1. Select Manage Users

  2. Select Students > Add Student > Add Multiple via CSV Import

  3. Select Download Current Students

Step 1: Remove Students

Once you have the file open in excel we can start the roster changes. From here you want to start by removing any of the students that will no longer be on the roster.

To remove students from the teacher’s roster:

  1. In the column titled Deleted, replace the ‘n’ with a ‘y’

  2. No other information needs to be changed

Once all changes have been made:

  1. Save the file to your hard drive

  2. Ensure it is saved as a comma-separated value (.CSV) file

  3. Click YES, to keep the formatting, from the pop-up box

  4. I recommend you save to your desktop, for easy access

  5. Return to the Upload Student CSV screen

  6. Select NEXT in the lower right corner

  7. Click Upload CSV

  8. Navigate to the saved electronic file, select and click Open

  9. Upload will start automatically. Click Review or Re-Upload.

  10. You will be asked to Review and Confirm

  11. Verify the list of students

  12. Click Confirm Changes

Step 2: Transfer Students

Now that you have removed the students that will no longer be using the product we can move to transfer students to different classrooms. Please download the roster again from www.LearningA-Z.com > Manage Users > Import Students > “Download Current Roster” so that you can see the most updated roster.

To transfer students:

  1. Replace the current teacher’s username with the new teacher’s username

  2. None of the other information needs to be changed

Once all changes have been made:

  1. Save the file to your hard drive

  2. Ensure it is saved as a comma-separated value (CSV) file

  3. Click YES, to keep the formatting, from the pop-up box

  4. I recommend you save to your desktop, for easy access

  5. Return to the Upload CSV screen

  6. Select Upload CSV

  7. Navigate to the saved electronic file and click Open

  8. File must be a comma-separated value (CSV) file

  9. Click Upload

  10. You will be asked to Review and Confirm

  11. Verify the list of students

  12. Click Confirm Changes

Step 3: Add New Students

Great! We are almost done! Now you can add new students. Please download the roster again from www.LearningA-Z.com > Manage Users > Import Students > “Download Current Roster” so that you can see the most updated roster.

To add new students to the file:

  1. Leave the LAZ ID column blank

  2. All required information listed below:

  3. Teacher Username

  4. Student Username

  5. Only Alphanumeric characters may be used

  6. Students First and Last names are optional and are only seen by the teacher

  7. Assign products as necessary

  8. Please see below for product formatting

  9. Teachers are responsible for assessing each student and placing them at the correct level

  10. Deleted column

  11. All students being added or transferred must have an ‘n’ in the deleted column

Things to note: When using the Import Students feature, it is important to enter the data in a specific format. Depending on which products you have, you will see some or all of the following columns. Leaving the field blank on an existing student will make no changes to the settings.

  • Grade Level: This optional field will be determined by the teacher’s selected grade unless the teacher has selected “Multiple” or “Other.” If so, the student’s grade can be set to Pre-K, K,1, 2, 3, 4, 5, 6, 7-12, or Other. Please note that Microsoft Excel will automatically format 7-12 as a date. To fix this, right click on the cell, select “Format Cells,” and choose “Text” from the list on the left.

  • Raz-Kids Level: This is the reading level a student should be set to for the Leveled Books.

  • Science Grade: Science A-Z materials are split into three grade ranges. Please enter (K-2), (3-4), or (5-6) as appropriate, including the parentheses.

  • Science Reading Level: Within those three grade ranges, materials are leveled at Low, Mid, or High.

  • Writing Level: Interactive online writing tools are based on Emerging, Beginning, Early Developing, Developing, and Fluent writing levels.

Once all changes have been made:

  1. Save the file to your hard drive

  2. Ensure it is saved as a comma-separated value (CSV) file

  3. Click YES, to keep the formatting, from the pop-up box

  4. I recommend you save to your desktop, for easy access

  5. Return to the Upload CSV screen

  6. Select Upload CSV

  7. Navigate to the saved electronic file and click Open

  8. File must be a comma-separated value (CSV) file

  9. Click Upload

  10. You will be asked to Review and Confirm

  11. Verify the list of students

  12. Click Confirm Changes

Step 4 (Optional): Edit Students

This is the last and an optional step. This step is for correcting fields like Grade Level, Student Name, Student Username, etc. Please download the roster again from www.LearningA-Z.com > Manage Users > Import Students > “Download Current Roster” so that you can see the most updated roster.

When editing information please note the following:

  1. Leave the LAZ ID column alone, you will never have to change this.

  2. No special characters in the names or usernames. Only alpha-numeric.
