Purposes of Data Entry

You have full control over the student data entered on this platform. All data input should be strictly limited to information that directly supports the legitimate educational objective of enhancing student performance. We will never request, and you are expressly instructed not to enter, any student data that is unrelated to this educational purpose.

To facilitate system setup, only a student login is required for each student. Additional non-student-specific information is also necessary, including the teacher’s first and last name, class name, grade level, and school name.

Student demographic data, which may be used for optional disaggregated reporting, is collected separately from the initial setup process. This information is obtained only with the written consent of your educational institution.

Use, Disclosure, and Storage

Student data will be used solely for the purpose of delivering services to your educational institution. We will retain this data only as long as necessary to fulfill this purpose and will delete it promptly upon instruction from you or your institution.

You are prohibited from disclosing or using any student data entered on this site for purposes not expressly authorized.

Student data will be disclosed only to authorized employees or representatives of the educational institution. We will not knowingly share this data with any third party without the institution’s express written consent.

When requested by the educational institution, we may obtain assessment results or other information—including personally identifiable student data—from third-party sources. Such data is handled with the same level of confidentiality and security as if it were provided directly by the institution. In some cases, additional agreements with the third party may be required to authorize the transmission of data to Learning A–Z.

From time to time, your educational institution may request that Learning A–Z share student data with third parties of its choosing. Such disclosures will only be made with written authorization from the institution. This authorization must acknowledge that Learning A–Z is acting as the institution’s agent in providing the data and that, once the data is transferred, Learning A–Z no longer retains control over its use or management by the third party.

We may utilize aggregated, non-personally identifiable data—such as summary statistics—for purposes including research, product development, and marketing. This type of data may also be shared with third parties to support these efforts.

Importantly, we do not use personally identifiable student data to market products or services directly to students or their parents under any circumstances.

If Learning A–Z intends to publish or share aggregated data that identifies your school or educational institution by name, a separate written agreement will be established to authorize such release and publication. This ensures transparency and institutional control over any public association with the data.

Data Quality

You are responsible for ensuring that all student data entered into the system is accurate, complete, and current. If you identify any data that is incorrect, incomplete, or outdated, it is your responsibility to update it directly within the Data Management System.

Security Safeguards

We are committed to safeguarding student data against unauthorized access, use, alteration, disclosure, or destruction. Ensuring data security is a shared responsibility between Learning A–Z and users of this platform.

We implement reasonable and appropriate technical and organizational safeguards when collecting and storing student data. In turn, you are expected to follow our security protocols and exercise due caution when accessing and using the site to help maintain the integrity and confidentiality of student information.

Institutional and Technological Security Safeguards

Learning A–Z is committed to maintaining robust security measures to protect student data.

Specific safeguards include:

  • Access Controls: Only authorized Learning A–Z employees with a legitimate need to manage student data are granted access to the Data Management System.

  • Role-Based Access for Educational Institutions: Access to institutional data is restricted to school officials designated by the educational institution. Access levels are as follows:

    • Teachers can view data only for their assigned classes.

    • Principals, Coaches, and other authorized school-level users can access data for their entire school.

    • District-level officials, such as Instructional Coordinators or Superintendents, may access data across the entire institution.

  • Credential Management: Each authorized user is issued a unique username and password, valid only for the duration of the institution’s license. Users are responsible for safeguarding their credentials and preventing unauthorized access to student data.

  • Data Deletion Upon Request: Upon written request from the educational institution, Learning A–Z will permanently delete all associated student data and provide written confirmation of the deletion.

  • Automatic Data Deletion: If an institution has not used any Learning A–Z product for a period of one year, student data will be deleted unless the institution requests its retention.

  • Infrastructure Security: Learning A–Z utilizes industry-standard servers, network hardware, and software to protect data from unauthorized access or disclosure.
